President

  • Oversees and coordinates the work of the executive board to run a PTA effectively
  • Presides at PTA board and association meetings
  • Serves as the official contact, communicator and representative of a PTA
  • Designated as an authorized signer for PTA checks, contracts and authorizations for payment
  • Serves as ex-officio member of all committees except the nominating committee
  • Works with other PTA leaders to connect families, school and community to support student success

Executive Vice President

  • Right hand (wo)man to the President
  • Manages hospitality for Board and General meetings
  • Assists President with duties as needed

Recording Secretary

  • Takes minutes at board and association meetings
  • Co-signs formal papers with president: authorizations for payment, resolutions and formal letters
  • Handles PTA correspondence as directed by the president
  • Maintains and preserves PTA records and important documents to pass on at the end of the term

Treasurer

  • Maintains permanent records to track unit funds and financial transactions
  • Chairs budget committee and prepares annual budget for adoption by the association
  • Pays all PTA bills as authorized by board or association
  • Prepares reports for every board and association meeting and an annual financial report
  • Ensures taxes and reports required by PTA bylaws, insurance or federal and state governments are completed and submitted by the due dates

Vice President, Ways & Means

  • Director of Rancho Cañada's Jog-a-Thon
  • Coordinates with committee chairs to ensure successful fundraising events

Vice President, Programs

  • Oversees all program committee chairs which may include Assemblies, Hoedown, Book Fair, STEAM Night, Teacher Appreciation, etc.
  • Coordinates with committee chairs to ensure successful programs 

Vice President, Risk Management

  • Verify insurance, district and contract requirements for PTA programs and assemblies
  • Coordinates with program chairs and vendors to ensure compliance 

Vice President, Membership

  • Plans and leads annual PTA membership drive [~July-Nov]
  • Coordinates membership incentives
  • Promotes membership on campus and online
  • Solicits business sponsorships and/or coordinates with committee chair for sponsorship

Vice President, Communications

  • Maintains PTA website, including online store
  • Coordinates social media posts for Instagram & Facebook for PTA and school events

Auditor

  • Conducts audit of PTA financial records twice a year for submission 

Historian

  • Records volunteer hours
  • Prepares annual report 

Parliamentarian

  • Maintains PTA bylaws
  • Ensures that our PTA is operating in accordance with bylaws

 

Nominating Committee 

(5 members and 2 alternates are elected at the January General Meeting, individuals may not serve two years in a row)

  • Contact potential nominees and share the outcome with the committee 
  • Compile a slate of officers that reflects a school community and submit it at least 28 days before elections
  • Advise nominees to attend the election meeting and the installation of officers

 

Room Parents

  • Work closely with the classroom teacher
  • Distribute information to class parents from the teacher, PTA and school
  • Compile a class roster for class families if desired
  • Attend PTA General Meetings when possible to stay up-to-date on PTA activities
  • Coordinate Teacher Appreciation efforts for your class
  • Assist with identifying additional class volunteers for PTA programs when needed, i.e. Jog-a-Thon, silent auction classroom baskets
  • Plan class parties in collaboration with the classroom teacher
